Communications & Marketing Assistant

Deadline: June 28, 2021

Rate of Pay: $17/hour
Reports to: Communications Manager

East End Arts seeks a dynamic, hard-working, self-starter to join our team in the summer of 2021 as the Communications and Marketing Assistant! East End Arts is east Toronto’s local arts service organization. We work hard to unite, inspire and enhance our communities through the transformative power of the arts! We do this by providing inclusive arts programming and events to our local communities, and professional development opportunities to both emerging and established artists and arts organizations. It’s all about bringing artists and communities together, and creating stronger, more resilient and diverse neighbourhoods.

As the Communications & Marketing Assistant, you will play a key role in supporting the communications, marketing, promotions, design, social media and fundraising activities related to East End Arts’ 2021 season of programming, events and initiatives (Artist Spotlights, ArtworxTO events, Girls Mural Camp, etc.), as well as larger development, advocacy and research initiatives. The Communications and Marketing Assistant will report to the Communications Manager.

RESPONSIBILITIES:

  • Develop and post social media content and social campaigns for East End Arts’ upcoming programs, artist calls, online digital tools, and more.
  • Help to develop and post monthly content for the new blog section of the East End Arts website, and help to update and maintain other areas of website when needed.
  • Assist with the development of East End Arts’ monthly e-newsletter, as well as other digital and print pieces for our summer programs, including press releases, program posters, and more.
  • Develop and coordinate cross-promotional opportunities with our community partners and arts organizations across our catchment.
  • Source and share information about current and upcoming local arts events & programs from constituent organizations and artists.
  • Assist with our online Artist Opportunities group, including research on upcoming opportunities to post, i.e. employment opportunities, calls for artists, etc.
  • Support East End Arts’ in-person events (only when and where applicable) through duties like social media, event set-up, outreach, and more.
  • Assist with development/fundraising activities, i.e. developing ward profile maps/documents to communicate our impact and reach.
  • Other communications and marketing duties as required, including research, writing, information distribution, community outreach, and more.

EDUCATION, SKILLS AND EXPERIENCE:

  • Firm grasp of available tools and platforms in the social media space, as well as Microsoft Office and WordPress.
  • Strong communication and interpersonal skills, (both written and oral), with an ability to communicate in a professional manner to business owners, politicians, artists, event participants, and community members.
  • Detail oriented, excellent organizational skills, and the ability to manage multiple tasks, schedules, and deadlines simultaneously.
  • A willingness to learn and accept mistakes.
  • Advanced problem solving skills. You are a resourceful and creative thinker when faced with a challenge, and you understand that every problem has a solution! You think ahead, anticipate potential problems/outcomes, and plan accordingly.
  • High level of initiative. You know how to take matters into your own hands and work both independently and as a team player.
  • Passion for the arts, and enthusiasm for the mission of East End Arts and the communities we serve.
  • Can-do attitude and a positive outlook with a strong sense of responsibility for your work.

Nice to Have:

  • Residence in the East End Arts programming area (east Toronto) preferred.
  • Post-secondary education in a discipline relevant to arts administration, communications, marketing, public relations, or fundraising.
  • Fluency in languages other than English.
  • Familiarity with and/or interest in graphic design and digital design tools, i.e. Canva, Adobe Creative Suite.

To be eligible, participants must:

  • Be between 15 and 30 years of age at the start of the employment;
  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment;
  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.

A NOTE ON SAFETY PROTOCOLS & WORKING DURING COVID-19

Participant & Staff safety are of utmost importance to East End Arts and will be a priority during the job placement and program activities.  The position will be a mix of work at St Matthew’s Clubhouse, work-from-home, and work out in communities.  A full set of safety protocols has been prepared in accordance with City of Toronto Health Guidelines and will be updated to reflect the most up to date information at the time. For candidates without home access to a computer, one will be provided.

Programming Assistant

Reports to: Program Coordinator and Executive Director

The Programming Assistant’s responsibilities will be to assist on multiple facets of summer activities produced by East End Arts including for our summer programs Girls Mural Camp, Local Discoveries and Women Paint TO Alley Jam. This position will begin with a focus on logistics and safety for Girls Mural Camp and Women Paint TO Alley Jam and then shift to focusing on the launch of our Year of Public Art/ArtworxTO programming, in particular the launch of our walking tours program “Local Discoveries”. This position will be a combination of work from home and in-person duties related to these programs, provided that in person activities are allowed at the time of the programs.

RESPONSIBILITIES:

  • Provide administrative support including word processing, data entry, list management, filing and correspondence related to Girls Mural Camp and Women Paint TO Alley Jam registration and questions around classes and registration.
  • Support the coordination, planning, implementation and evaluation of our events, including the enforcement of safety protocols for any in person activities.
  • Support for sponsorship and marketing activities, general research, and production and distribution of event-related materials.
  • Community outreach and helping to develop participation from local businesses and restaurants to promote our ArtworxTO public art programs.
  • On occasion, respond to inquiries from East End Arts staff, volunteers and the general public.
  • Other duties as required related to EEA programs.

EDUCATION, SKILLS AND EXPERIENCE:

  • You love the details – managing event logistics, creating production timelines, maintaining schedules, tracking and documenting materials, proofreading copy, etc. Things rarely fall through the cracks under your watch.
  • Excellent organizational skills and the ability to manage multiple tasks, schedules, personalities and deadlines simultaneously.
  • Advanced problem-solving skills. You are a resourceful and creative thinker when faced with a challenge, and you understand that every problem has a solution. You think ahead, anticipate potential problems/outcomes and plan accordingly.
  • High level of initiative. You know how to take matters into your own hands and work both independently and as a team player. 
  • Strong interpersonal skills. Comfortable working with a variety of stakeholders such as volunteers, local politicians, small business owners and community groups with a commitment to quality customer service. You feel comfortable talking to strangers and building connections for our work and East End Arts.
  • Comfortable working in nonprofit setting with a strong interest in the performing arts, community engagement, public space activation and city building.
  • Advanced computer competency in word processing, spreadsheets, data management (Eventbrite and Mailchimp) and social media platforms. Work from home tools such as Slack, Asana, and Zoom are nice to have.
  • Can-do attitude, positive outlook with a strong sense of responsibility for your work.

  • Fluency in languages other than English.
  • Driver’s license.
